Arrivals Prior to Wednesday, May 21, 2025
There are a limited number of rooms available on Tuesday, May 20, for those who cannot arrive due to flight schedules before the start of the conference on Wednesday, May 21, and early arrival will need to be approved in advance based on your departure city.

Departures After Friday, May 23, 2025
High occupancy is expected over Memorial Day weekend, following the conference, so the contracted group rate cannot be guaranteed for extended stays. The hotel will approve the rate or provide another rate based on availability at the time of inquiry. Extending your stay will be at your own expense. 

 

We collect dietary restrictions and allergies during the registration process, and they have been shared with the hotel.

Buffets will be prepared to accommodate most needs and will be labeled accordingly. Please contact Tara Moore if you need more specific arrangements to be coordinated.

There are no registration fees for the conference. Please see below for details on lodging, airfare, and incidental reimbursement details. The nights of Wednesday, May 21, 2025, and Thursday, May 22, 2025 will be covered by Healthpeak.

Room, taxes, and resort fees will be charged to the Master Account. However, a credit card will be required upon arrival for incidental charges. Airfare, transportation to/from the hotel, and meals not provided during the conference will be reimbursed by submitting an expense report via Concur.

Healthpeak employees should complete expense reports through Concur, using project code PMCONFERENCE for each line item. Non-Healthpeak employees should submit expense reports through their employer as normal; the PM company should submit the total cost to Healthpeak like any other reimbursable costs to be allocated among the appropriate assets. Please wait until completing your travel and collecting all receipts to submit your reimbursement request. All reimbursement requests should be submitted by June 30, 2025.

In May, the average high in Nashville is 83, with a low in the mid-70s.

The conference, meals and team building will primarily take place indoors, and meeting rooms can be a little cool, so consider bringing a sweater or light jacket when packing.

Shoes suitable for walking approximately 0.5 miles/10 minutes are encouraged.

● Wednesday afternoon/evening: The conference will kick off with team building in the Omni Hotel in the Legends Ballroom and conclude with a Welcome Reception at Embassy Suites Nashville Downtown in Harmony on the 4th Floor.

● Thursday: We recommend business casual attire, including slacks, khakis, dress shirts or blouses, open-collar shirts, sports coats or jackets, dresses or skirts, sweaters or cardigans, and loafers or other comfortable dress shoes. Ties are not required. Keep in mind that meeting rooms can be chilly!

● Thursday evening: Our offsite dinner will be held at the Skydeck on Broadway, please be prepared to walk to this dinner which is about 0.4 miles or approximately 7-8 minutes. Please pack appropriate shoes for this walk.
